Job Description
The Audit & Certification Supervisor is responsible for overseeing and capturing of data, verification, and submission of audit data related to sustainable certifications such as RWS, RMS, and others. This role ensures that all producers remain certified by coordinating with SAMIC, Control Union (certification body), and internal data capturing team.
Qualifications & Experience:
- Matric (Grade 12)
- Diploma in Agriculture, Compliance, Quality Management, or related field- Preferred
- 2–4 years of experience in data capturing, or audit coordination, or certification, or administrative supervision
- Knowledge of RWS/RMS or other sustainable certification standards – Advantageous
- Strong administrative, organizational, and communication skills
- Experience with programs like Monday.com, Talman or similar project/document management platforms
- Language Bilingual (Afrikaans and English)

Working Conditions:
- Office-based with occasional field or audit site visits
- May require working under pressure during peak audit or auction periods
1. Supervision of Data Capturer
- Supervise all data capturing activities to ensure accuracy and completeness.
- Provide continuous training to data capturers on:
- SAMIC Audit process
- Control Union requirements
- Documentation standards
New Audits:
- Receive audit documentation from SAMIC.
- Verify that all documentation is:
- Complete
- Correctly captured by the Data Capturer
- Stored in the appropriate file and folder
Re-Audits:
- Review data captured for re-audits.
- Ensure re-audit data is correctly filed and verified.
3. Uploading to Control Union (CU)
- Upload completed and verified audits to the Control Union system.
- Ensure only valid and certified audits are uploaded.
- Maintain up-to-date records on the CU system.
- Note: If the audit is not valid, the client risks suspension and cannot sell their wool/mohair as certified.
4. Communication & Issue Handling
IT & Communications:
- RWS Clients: If the "waardasie lys" (valuation list) is missing RWS certification status before an auction:
- The Administrator/POS must log a Helpdesk Ticket.
- Inform the Fibre Admin to correct the data on their system.
- Ensure corrections are completed before the auction.
General Communication:
- Handle all queries related to:
- RWS, RMS, Nativa
- Audit findings
- Transactional Certificates (TCs)
- Advise technical staff/managers of unresolved non-conformities.
- Assist buyers’ office with any TC-related queries.
- Assist Group Members with updated requirements or documentation.
System and File Management:
- Maintain accurate and up-to-date records in:
- Monday.com
- Quality Management System
- Ensure all required documents are filed, approved, and accessible.
Audit Scheduling & Follow-up:
- Notify SAMIC of upcoming audits.
- Follow up on non-conformities:
- Major: must be closed within 30 days
- Minor: must be closed within 60 days
- Ensure all critical and major non-conformities are resolved.
- If not, suspend the Farm Group Member and notify:
- Certification Body (Control Union)
- SAMIC
- Field representative
- Verify and update all producer information received from SAMIC.
- Add or remove members from the group scope as needed.
- Ensure only valid Group Members are included in the Scope Certificate.
- All completed audits must be sent to Control Union.
- Discrepancies will lead to Control Union returning the documentation for correction.
- Ensure audits are completed timeously.
- Delays can prevent issuance of Transactional Certificates.
- Without a valid TC:
- Buyers cannot ship wool/mohair as RWS/RMS certified.
- Adhere to health and safety protocols on company premises.
- Maintain a clean and professional work environment.
- Deliver high-quality, accurate work with attention to environmental impact.
